The scheduler utilizes and maintains OnShift to schedule shifts, monitor staffing levels, monitor overtime, and input related data including but not limited to, fill-in requests, open shift requests, staffing requirements.
This position will further support the administrative staff when requested and act as the main greeter to the residents, their families, and staff.
The Administrative Assistant is the support to the administrative staff and the main greeter to the residents, their families, and staff.
The Administrative Assistant will be organized and maintain the facility's public relations.
Education and Experience Minimum of two years scheduling experience preferred, but not required.
Experience in receptionist-related duties is preferred, but not required.
Current Wisconsin State Certified Nursing Assistant License Current CPR Certification - Will provide in-house certification.
Characteristic Duties and Responsibilities Creates, manages, and facilitates processes for the nursing department schedules.
Updates and makes necessary changes to the nursing department schedules as well as replaces staff call-ins and open shifts.
Address questions and concerns of visitors and staff when entering the facility.
Answers telephones and transfers calls to the correct department or staff.
Attends and calls morning meetings or other meetings throughout the day.
Maintains the front lobby area by watering plants, keeping lobby coffee supplies stocked, and keeping all cabinets orderly.
Orders CHRC merchandise as requested by the administrator.
Calls upon housekeeping services to clean lobby areas, bathrooms, and conference room as needed.
Assists administrative staff with creating and recreating documents as requested.
Handles and sends out mass e-mail updates to administrative and nursing staff as needed.
Makes and keeps copies of assisted living information packets to give to residents or families inquiring about services that are provided.
Orders flowers for staff recognition as requested Keeps track of staff recognition days/ weeks and months.
Organizes staff monthly acknowledgment activities and awards Keeps CHRC merchandise cash bag logged and deposits once a month.
Prepares and maintains the schedule of meetings for conference room meetings as well as keeps the conference room organized.
Files paperwork as necessary.
Types minutes for various meetings such as department head, nursing departments, quality assurance, takes notes at morning meeting and notes upcoming events.
Organizes and conducts press releases for promotional events.
Creates documents such as pamphlets, flyers, and other advertising documents for the promotional events.
Updates and maintains the CHRC Facebook page and the company website.
Organizes fundraising events for the facility.
Must work one shift a month as a CNA to maintain CNA licenses.
